Maplewood Memorial Library

Public Meeting Room Policy 

The Maplewood Memorial Library offers the Hilton Branch Library meeting room for use by Maplewood community organizations. This room has a 25 person capacity and is available free of charge to Maplewood nonprofit organizations engaged in educational, cultural, intellectual or charitable activities.  

  • Use is limited to once a month per organization due to high demand.

  • Library-sponsored programs have priority at all times.

  • Activities taking place in the Library’s meeting room must be free and open to the public.

  • The meeting room will be made available on an equitable basis, regardless of the beliefs or affiliations of individuals or groups requesting its use.

  • The Library does not advocate or endorse the viewpoints of meetings or meeting room users.

  • No public area of the Library may be designated for meetings, and no areas may be shut off from public access to conduct a meeting. Use of the Library by groups of 3 or more is permitted only in a Meeting Room.

  • Soliciting, selling, fundraising or using the Library for commercial purposes is not permitted.

  • The Library does not promote or publicize events for groups using the meeting rooms unless the event is co-sponsored by the Library. 

  • Groups or organizations using the Meeting Room may not use the Maplewood Library logo without express permission from the Library Director.

Reservation Procedure

  • Reservations can be arranged by calling 973-762-1688 x5004

  • When the meeting room is requested for use by minors, the reservation must be made by an adult who will agree to be present and who will assume responsibility for the conduct of the meeting. There must be 1 adult present for every 15 minors.

Meeting Room Rules and Regulations

  • Smoking tobacco or cannabis, using electronic cigarettes or vape pens alcohol and open flames are not permitted on library property.

  • No admission fee may be charged.

  • Meeting Room users must adhere to the Library’s posted Rules of Conduct.

  • The Meeting Room may be used during regularly scheduled library hours only.

  • The Meeting Room is not available for social gatherings.

  • The Meeting Room must be left as it was before the meeting.

  • The Maplewood Library assumes no responsibility for loss or damage to any property of a group, or injury to members of a group which occurs during the use of the Meeting Room.

  • Room setup and cleanup is the responsibility of the user.

  • No animals, except service animals, are permitted.

  • Food  is not permitted. Hot or cold beverages are permitted in covered containers.
