Maplewood Memorial Library
Public Meeting Rooms Policy and Rental Fees
The Maplewood Memorial Library offers meeting rooms for use by the public.
They include:
Memorial Hall, Main Library, Capacity 120/224
Durand Room, Main Library, Capacity: 30
Meeting Room, Hilton Branch, Capacity: 40
Computer Lab, Hilton Branch, Capacity: 12
Meeting rooms are available free of charge to Maplewood nonprofit organizations engaged in educational, cultural, intellectual or charitable activities. Use is limited to once a month per group due to high demand.
Use by out-of-town and commercial organizations is permissible for a fee and is limited to once a month per group due to high demand. See fee schedule below.
The library has audiovisual equipment and microphones available to rent. Arrangements for rentals must be made at least one week in advance of the program date. Equipment booked less than one week in advance is subject to staff availability.
Library-sponsored programs have priority at all times.
Activities taking place in the Library’s meeting rooms must be free and open to the public.
Meeting rooms will be made available on an equitable basis, regardless of the beliefs or affiliations of individuals or groups requesting their use.
The Library does not advocate or endorse the viewpoints of meetings or meeting room users.
Use of the Library by groups of 3 or more is permitted only in a Meeting Room. No public area of the Library may be designated for meetings, and no areas may be shut off from public access to conduct a meeting.
Small study groups, class visits and tours may be arranged through the Library.
Soliciting, selling, fundraising or using the Library for commercial purposes is not permitted.
The Library does not promote or publicize events for groups using the meeting rooms unless the event is co-sponsored by the Library.
Rental Procedure
Main Library reservations are made through the administrative at office 973-762-1622 (ext. 5004). Hilton Branch reservations can be arranged by calling 973-762-1688.
Room and equipment payments must be paid to the Library seven days in advance of the event.
When the meeting rooms are requested for use by minors, the reservation must be made by an adult who will agree to be present and who will assume responsibility for the conduct of the meeting. There must be 1 adult present for every 15 minors.
Meeting Room Rules and Regulations
Smoking, alcohol and open flames are not permitted on library property.
No admission fee may be charged.
Meeting Room users must adhere to the Library’s posted Rules of Conduct.
Meeting rooms may be used during regularly scheduled library hours only.
Meeting Rooms are not available for social gatherings.
Light food and beverages may be served, but must be removed from the library at the conclusion of the program.
Meeting rooms must be left as they were before the meeting.
The Maplewood Library assumes no responsibility for loss or damage to any property of a group, or injury to members of a group which occurs during the use of the Meeting Rooms.
Room setup and cleanup is the responsibility of the user.
No animals, except service animals, are permitted.
